Data Deletion

You have the right to request deletion of your personal data held by Pramanak. This page explains what you can delete, how to request it, and what happens afterwards.

Deletion is permanent

Once deletion is confirmed, your data cannot be recovered. If your account is an organization owner, all members, bearer records, certificates, and message logs for that organization will also be deleted. Please download any data you wish to keep first.

1. What data can be deleted

  • Your user account (name, email, password hash, profile photo).
  • Organizations you own, including members, bearer records, templates, uploaded photos, certificates, ID cards, and print orders.
  • WhatsApp message logs associated with your organizations, including phone numbers, template parameters, delivery status, and any inbound replies.
  • WhatsApp configuration (access tokens, webhook secrets, phone number IDs).
  • Audit logs tied to your account (where not required for legal compliance).

2. Self-service deletion

The quickest way to delete data is directly from the platform:

Delete individual records

Organization admins can delete members, bearer records, certificates, or message logs individually from within the relevant page.

Delete an organization

Organization owners can delete the entire organization from Settings > Organization > Danger Zone. This cascades to all members, bearers, documents, and message logs.

Delete your account

Log in, go to Settings > Account > Delete Account. You must transfer ownership of any organizations you own, or delete those organizations first.

Opt out of WhatsApp messaging

If you only want to stop receiving WhatsApp messages, reply STOP, UNSUBSCRIBE, or BLOCK to any WhatsApp message. Your phone number is added to the suppression list immediately.

3. Request deletion by email

If you cannot use self-service (for example, you lost access to your account, or you are a recipient whose phone number was added to an organization without your consent), email us:

Subject: Data Deletion Request

Please include in your email:

  • Your full name.
  • Your account email and / or phone number.
  • Organization name, if applicable.
  • A statement confirming you want your data deleted.
  • Proof of identity (we may ask for additional verification to prevent unauthorized deletion).

4. Timeline

  • Self-service deletion: immediate.
  • Email requests: acknowledged within 3 business days.
  • Completion: within 30 days of verified request.
  • WhatsApp opt-out (STOP reply): instant.
  • Backup purge: encrypted backups are retained for up to 35 days and then overwritten as part of normal rotation. Deleted data in backups is not restored.

5. What we may retain

Certain data may be retained after deletion for legal or security reasons:

  • Records required by law (e.g., financial records for tax audits) for the legally mandated period.
  • Security and abuse logs where deletion would impair ongoing investigations.
  • Aggregate, de-identified analytics that cannot be linked back to you.
  • Suppression list entries (phone numbers that opted out) — we retain these to ensure we never re-contact a number that opted out.

6. Third-party deletion (Meta / WhatsApp)

When we delete your WhatsApp data from our systems, message content and metadata may still be held by Meta under its own retention policies. To request deletion from Meta, see the WhatsApp Privacy Policy.
